You have had a few years of experience supporting an office with various tasks, and scheduling was a heavy part of it (scheduling calendars with multiple people, scheduling travel, scheduling vendors, etc). You pride yourself in your organizational skills and love finding new ways to organize information and communication. You’ve worked in office settings where priorities constantly shifted, and you loved every minute.  

The Task At Hand:

Aquacycl is seeking a dedicated and detail-oriented Office Coordinator to join our team. The ideal candidate will possess strong organizational skills, flexibility, and a proactive attitude to support our dynamic and growing company.  

This role will be on a 90-day probationary with a desire to become a permanent role.  

In This Role, You Will: 

Have a proactive and organized approach to addressing day-to-day operating issues. Your duties may include managing office supplies, coordinating meetings and events, handling incoming and outgoing correspondence, and providing administrative support to various departments. Key focus areas will encompass travel management, scheduling and coordination, and office administration. 

Travel Management: 

  • Manage travel plans, agendas, and appointments for multiple team members (international and national). 
  • Ensure bookings align with company policy and budget. 
  • Maintain communication and relationships with partner hotels, Airbnbs, flight company representatives, and travel agencies. 
  • Address travel-related issues as they arise. 

Scheduling and Coordination: 

  • Schedule and coordinate meetings as well as maintain calendars. 
  • Assist colleagues whenever there is an opportunity to do so. 

Office Administration: 

  • Maintain a positive and efficient working environment. 
  • Manage emails, letters, packages, phone calls, and other forms of correspondence. 
  • Track and replace office supplies to avoid interruptions in standard front office procedures. 
  • Submit reports and prepare proposals and presentations as needed. 
  • Shipping coordination with shipping companies, track shipments, and ensure timely deliveries. 
  • Perform safety checks on a daily/weekly basis. 
  • Handle data entry tasks. 
  • Expense reporting (review, scan, and upload documents). 
  • Create and update databases and records for financial information, personnel, and other data. 
  • Perform other duties as assigned. 

In This Role, You’ll Bring With You: 

  • 2-3 years of administrative/scheduling experience supporting diverse teams is required.   
  • Expert knowledge of Microsoft Office Products and ability to navigate Windows and iOS systems. 
  • High level of multi-tasking and ability to switch tasks quickly. 
  • Ability to think critically and be proactive. 
  • Organizational skills, attention to detail 
  • Proactive 

Location:  

  • Escondido, CA. We prefer to have this role onsite 5 days a week to support our teams.  

Compensation:  

  • $22.00 – $26.00 per hour, non-exempt
